Mailboxes
Connect your own inbox so Rose's outreach emails send from you — Gmail, Outlook, or any IMAP mailbox.
Outreach lands best when it comes from a real person's inbox. Connect your mailbox and Rose sends your projects' emails from it, tracks replies, and keeps every thread in your Inbox.
Connecting your own mailbox is rolling out to workspaces gradually. If you don't see a Mailboxes section on your Integrations page yet, nothing is missing — Rose sends your projects' emails for you.
Connecting a mailbox
Go to Integrations (under More in the sidebar) and find Mailboxes. Choose your provider:
| Provider | Use it for |
|---|---|
| Gmail | Google Workspace or Gmail accounts |
| Outlook | Microsoft 365 or Outlook accounts |
| IMAP | Any other mailbox, using your IMAP/SMTP details |
Sign in with the provider, approve access, and you're returned to Hiros. Use Add another mailbox to connect more, up to what your plan includes.
You don't have to leave the chat. When Rose is setting up an email sequence and you haven't connected an inbox, she shows Connect your inbox to send these emails with the same three options — and you come straight back to the conversation afterwards.
Not ready to connect one?
For an email-only sequence you can choose Let Rose send it, and Rose sends the emails for you. Sequences that mix email and LinkedIn always send email from your own inbox.
Mailboxes are personal
Each mailbox belongs to the person who connected it, and a project sends from its owner's mailbox. Teammates can't see or use your connected address, and an inbox that's already connected by someone else on Hiros can't be connected again.
If you're working on a teammate's project, Rose will tell you when the owner needs to connect their inbox — connecting your own wouldn't change it.
How much you can connect
The Mailboxes section shows your plan's allowance — for example 1 of 2 on your plan, or Unlimited on your plan. Allowances are per team member. If you've reached it, you'll be asked to upgrade before adding another. See Subscription Plans.
Each mailbox shows its daily sending limit. Rose paces sends gradually within it, and inside each project's sending schedule.
If a mailbox disconnects
If a mailbox is disconnected — a password change, revoked access — Rose pauses every project sending from it so no candidate misses a step. You'll see Sending is paused on the project, and the owner gets an email. Click Reconnect mailbox, then Resume the project.
